1. Application for Space: Exhibitor Registration
Form must be completely filled out and submitted with payment in
full to be guaranteed.
2. No Exhibitor may re-assign, sub rent, give away, share or lease
contracted space without written permission of show producer, HudsonValleyPartyExpo.com.
3. Exhibitors may only display and or solicit for the services as
listed in their chosen category.
4. Neither the Show Venue (Holiday Inn) or HudsonValleyPartyExpo.com
will be responsible to provide security at any time during the setup,
operation or breakdown of the show. There will also not be any guarantee
against any losses that may be incurred due to weather conditions,
acts of God, Terrorists, etc.
5. Cancellation of Exhibit Space: HudsonValleyPartyExpo.com reserves
the right to cancel any reservation that is not paid in full, to
lease such space to another exhibitor and to retain as liquidated
damages, any amounts already paid.
6. HudsonValleyPartyExpo.com reserves the right to reject any application
/ registration or cancel any contract for space for any reason.
7. HudsonValleyPartyExpo.com reserves the right to place exhibitors
at any booth location or change locations as deemed necessary for
the benefit of the show.
8. All exhibitors must have certificate of insurance for day of
the show.
9. All exhibitors must adhere to all rules and regulations pertaining
to this show.
10. Exhibitor agrees to keep exhibit properly staffed and intact
during show hours 11:00am – 5:00pm
11. Early dismantle of any exhibits are strictly prohibited.
12. No Cash and Carry sales of goods as in a retail setting is permitted
from any exhibit booth or in the event facility at any time.
13. No Food or beverages may be sold on the premises, although samples
may be given away in limited portions.
14. HudsonValleyPartyExpo.com reserves the right in its sole judgment
to prohibit or close any display or activity because of noise, odors,
or other disturbing features or which may be offensive to other
exhibitors or attendees. Furthermore, this discretionary right of
HudsonValleyPartyExpo.com applies to any demonstration or activity
by an exhibitor that results in obstruction of booth line of sight
and or access to a nearby exhibitors booth by either attendees buyers
or exhibitors.
15. Exhibitors that utilize any parking lots for vehicles and or
outdoor displays must have all proper permits if required by local
town ordinances.
16. Exhibitors that will be utilizing vehicles and or outdoor displays
must have all materials and or equipment securely fastened down.
17. All personnel working at an exhibitors booth must be employees
of exhibiting company.
18. All exhibitors must display and wear show badges at all times
19. Exhibitors agree to abide by any and all New York State and
Federal Laws, Hotel rules and HudsonValleyPartyExpo.com rules
20. All materials, fabrics and the like in exhibitors areas and
or booths shall meet all local fire codes and regulations.
21. Exhibitors agree to keep and leave their space in a clean and
orderly fashion. Exhibitors will be financially responsible for
any damages to the premises at their booth or exhibit space made
by exhibitor and any of exhibitors employees or agents.
22. No nails, bolts, tacks or screws shall be driven into the wall,
woodwork or floor of the building
23. The use of flammable substances in any form are strictly prohibited.
24. No gasoline, kerosene, acetylene or other flammable or explosive
substances inside the show or venue.
25. No cooking at any exhibits or booths during HudsonValleyPartyExpo.com
show.
26. Liability, Hold Harmless and Indemnification: Exhibitor agrees
that neither the event facility nor HudsonValleyPartyExpo.com shall
be liable for any claims, losses, damages, death, injuries or liability
which may be sustained by any person who may be on the premises
leased by or assigned by the exhibitor. (including but not limited
to) any agent, employee, representative or guest of the exhibitor
or any other person or entity.
27. The exhibitor agrees that it will hold harmless and indemnify
the event facility and HudsonValleyPartyExpo.com from any and all
claims, including third party infringement claims, losses, damages,
death, injuries, or liability whatsoever, (including without limitation,
reasonable attorney’s fees and costs) whether to property,
person or otherwise that arise in whole or in part from the omissions
or willful misconduct or breach of this contract by exhibitor or
its agents, employees, representatives, guests or invitees related
to or arising in connection with exhibitors performance.
28. All exhibitors are required to have a liability insurance policy
for $1,000,000.00 per occurrence $2,000,000.00 aggregate. HudsonValleyPartyExpo.com
/ The Spencer Daniels Agency Inc., PO Box 1184, Monticello New York
12701 to be listed as additional insured.
29. All Exhibitors can have access for set up by 6:00am. All exhibitors
must be completely set up by 10:30am. Doors for load in will be
closed by 10:00am. There will be no exceptions.
30. Exhibitors may not breakdown any of the exhibits, booths or
spaces until 5:00pm. No exceptions.
